Who we are
Vivencias Tropicales is a tour agency in Costa Rica. We are responsible for the data you give us when you book on this website and in the app. For any question about your data, write to the email address at the end of this page.
What we ask for when you book
From the person booking: full name, email and, if you wish, phone number. From each traveler, children included: first name, first last name, age group (adult, senior, child or infant) and type and number of ID document (Costa Rican cédula, DIMEX, passport or other). We ask for your consent before you send them.
What we use them for
To hold your seats, take payment, send you the confirmation and voucher, and let you know about any change to the tour. On the day of the tour, every traveler’s ID is checked. If you state that you are Costa Rican, we compare your cédula number and one of your first and last names with the voter registry of the Supreme Electoral Tribunal (TSE). We do not keep a readable copy of the registry: only codes that cannot be turned back into names or ID numbers.
Payments
Card and SINPE Móvil payments are processed by OnvoPay. Your card details go straight to OnvoPay: we never see or store them. We only keep the payment status and its reference number.
Your "My bookings" account
It is optional. You sign in with your email and a one-time code, or with a passkey on your phone or computer; we do not use passwords. We store your email and, if you create a passkey, only its public part. The app keeps the language you chose and, if you sign in, your session on your phone.
How we protect your data and how long we keep it
ID documents are stored encrypted, and our admin panel only shows their last four characters. They are deleted if the booking is not paid in time and two days after the tour date. The rest of the booking data (names, contact details, tour, date and amounts) is kept for as long as Costa Rican accounting and tax rules require. All information travels encrypted (HTTPS).
Who we share it with
With the company that runs your tour, only what they need to welcome you (travelers’ names and how many are going). And with the services we use to operate: OnvoPay (payments), Cloudflare (website and servers), MongoDB Atlas (database) and DreamHost (email). Some of them store data outside Costa Rica. We do not sell your data, we use no advertising or analytics tools and we set no tracking cookies.
Technical data
Cloudflare may log technical connection data, such as the IP address, to run and protect the service.
Your rights
Under Costa Rica Law 8968 on the protection of individuals regarding the processing of personal data, you can request access to, correction of or deletion of your data, and withdraw your consent at any time. Write to us and we will reply.
Changes to this policy
If we change what we do with your data, we will update this page and the date above before applying it.
